Notifications

The two push notifications the app sends, the meeting reminder that starts a recording, and how to turn either off.

The app sends two kinds of push notification. A meeting reminder arrives as each meeting on your connected calendar starts, and tapping it starts recording that meeting on your phone. A second notification tells you a transcription is ready, and tapping it opens that meeting.

Meeting reminders

When a meeting on your calendar is about to start, you get a notification titled Starting now: followed by the meeting's name, with Tap to record. under it. A meeting without a name shows as "Untitled meeting". Only the person whose calendar it is gets the reminder, once per meeting, on every phone they're signed in on.

Meetings with a link and meetings without one both get a reminder. These don't:

  • all-day entries, such as a holiday or a day out of office;
  • cancelled meetings;
  • meetings you declined;
  • meetings from a series you muted (see below).

There's no reminder when your organization has no minutes left, or when your role is Viewer, since a Viewer can't record.

What tapping the reminder does

Tapping the reminder opens Record and starts recording, with the meeting's name already filled in as the title. The recording is linked to that calendar meeting.

If the bot was booked for the same meeting, it's cancelled once your phone starts recording, and it leaves the call if it had already joined. Your phone records the meeting instead, and the bot stays off that meeting for everyone in your organization who had it on their calendar.

Recording only starts by itself when you've already given the app microphone access and confirmed the recording-consent notice. The first time you record, Record opens with the meeting's name shown and waits for you to tap the microphone, so those prompts come first. See Recording on your phone.

A reminder you tap more than ten minutes after the meeting started opens Record with the meeting's name shown, but doesn't start recording by itself, and the bot isn't cancelled. Tap the microphone if you still want to record on your phone.

If you're already recording something when you tap the reminder, the recording that's running carries on and the reminder is ignored.

Muting a recurring meeting

When Record was opened from a reminder, a Mute this series link sits under the title. Tap it to stop reminders for every future meeting in that series. The screen confirms with "Muted. No more reminders for this series." and an Undo link. For a one-off meeting, muting covers that meeting only.

Turning reminders off

Open Settings and switch off Before meetings ("A reminder as each calendar meeting starts"). That stops every meeting reminder on all your devices. The transcription notification has its own switch, Push notification when transcription is ready, in the same place. Switching either one on asks for the phone's notification permission if the app doesn't have it yet.

The one-time prompt

After you connect a calendar, the app shows a screen once that previews a reminder for your real next meeting, under the heading Never forget to hit record. Tap Continue to get the phone's own permission prompt for notifications, or Not now to skip it for now, in which case the phone asks the next time you open the app. The screen doesn't come back either way. It never appears on the Record screen.

If you said no to notifications on the phone itself, turn them back on for VoiceCap in your phone's settings.
