Summaries

What a generated summary contains, how to change the language it's written in, and how to regenerate one.

Once a meeting finishes processing, VoiceCap reads the transcript and writes a summary, a list of key topics, and a list of action items. Decisions are extracted too, but shown in their own section. See Decisions.

What's in a summary

  • Summary: a 2-3 paragraph narrative of the meeting, written to stay consistent with the key topics and action items below it: the same topic names, the same order, the same people.
  • Key Topics: one entry per distinct discussion point, covering the whole meeting instead of only its opening minutes. Each has a title, a summary sentence, and a timestamp you can click to jump to that part of the recording.
  • Action Items: every task or commitment raised in the meeting, with an assignee when one was named and, when the moment is known, a timestamp chip linking back to it. Check them off as they're done; a checked item stays checked until someone unchecks it, or until the summary is regenerated, which starts every action item unchecked again.

Changing the summary language

Summaries follow a language preference, not the meeting's own language. Go to Settings > Profile Settings and open the Summary Language card. You can choose:

  • Organization default: whatever your organization set, shown in parentheses.
  • Same as transcription: always matches the language VoiceCap detected or was told to use during transcription.
  • Any specific language.

Owners and Admins can set the organization's own default the same way, from Settings > Organization.

Changing the preference only affects summaries written after the change: new meetings, and any meeting you regenerate. It does not rewrite a summary that already exists.

Regenerating a summary

  1. Open the meeting and click the refresh icon in the Summary card's header.
  2. If the summary has been manually edited, VoiceCap asks "Regenerate Summary?" and warns that your edits will be overwritten. Confirm to continue.

Regenerating replaces the summary, action items, and key topics with a fresh pass over the current transcript, using your current summary-language preference and the speaker names assigned at that moment. It requires a transcript to exist, and only someone who can edit the meeting can trigger it. Viewers don't see the option.

You can also edit the summary or the action items by hand, using the pencil icon on each card. A manually edited summary is marked "Edited" until it's regenerated.
