Inviting people
How to invite someone by email, choose their role, and what happens to the invite before it's accepted.
Owner and Admin can invite anyone to the organization by email, from any domain. A Gmail address works exactly the same way as a company address.
Sending an invite
- Go to Settings > Team and click Invite Member.
- Enter the person's Email Address.
- Pick a Role: Admin, Member, or Viewer. Member is selected by default.
- Click Send Invitation.
If the organization is on the Free plan and you pick Admin or Member, the dialog blocks the send and offers an Upgrade plan link instead. See Seats and roles for why. Viewer can always be invited, free plan or not.
You can't invite someone who's already a member, and you can't send a second invite to an email that already has one pending.
What the invited person gets
They receive an email inviting them to join the organization, with an Accept Invitation button and a note that the invitation expires in 7 days. Opening the link:
- Prompts them to log in or sign up first if they aren't already.
- Shows a Join card naming the role they were invited as, with Accept Invitation and Decline buttons.
- If they're already a member of a different organization, shows a switch-organizations prompt instead, since one account can only belong to one organization at a time.
Accepting adds them with the role you picked and takes them straight to their meetings.
Pending invites
Invites you've sent but nobody has accepted yet show up under Pending Invitations on Settings > Team, with the role and expiry date next to each one.
- Resend re-sends the email and pushes the expiry another 7 days out. It's disabled for 60 seconds after each use.
- Revoke cancels the invite immediately; the link stops working.
- Left alone, an invite expires automatically after 7 days and can no longer be accepted.
