Inviting people

How to invite someone by email, choose their role, and what happens to the invite before it's accepted.

Owner and Admin can invite anyone to the organization by email, from any domain. A Gmail address works exactly the same way as a company address.

Sending an invite

  1. Go to Settings > Members and click Invite Member.
  2. Enter the person's Email Address.
  3. Pick a Role: Admin, Member, or Viewer. On Free, Member is selected by default. On Pro and Business, Viewer is selected and each role shows its price: Viewer · free, Member · €29/mo and Admin · €29/mo on Pro, €49/mo on Business.
  4. Click Send Invitation.

On the Free plan, every role can be invited at no cost and there's no limit on how many. The dialog says so: "On Free, everyone you invite can record. Your team shares the 300 free minutes. When you upgrade, every member and admin becomes a paid seat." On Pro and Business, an invited Admin or Member adds a paid seat once they accept, and a Viewer is free. The dialog notes that paid roles are prorated for the current billing period. See Seats and roles.

You can't invite someone who's already a member, and you can't send a second invite to an email that already has one pending.

What the invited person gets

They receive an email inviting them to join the organization, with an Accept Invitation button and a note that the invitation expires in 7 days. Opening the link:

  • Prompts them to log in or sign up first if they aren't already.
  • Sends them to Confirm your email if their own address isn't confirmed yet. Accepting an invitation requires it. After opening the confirmation link they get back to the invitation by returning to that page and clicking I've confirmed it; if they open the link in the same tab instead, they have to open your invitation email again. See Email verification.
  • Shows a Join card naming the role they were invited as, with Accept Invitation and Decline buttons.
  • If they're already a member of a different organization, shows a switch-organizations prompt instead, since one account can only belong to one organization at a time.

Accepting adds them with the role you picked and takes them straight to their meetings.

Pending invites

Invites you've sent but nobody has accepted yet show up under Pending Invitations on Settings > Members, with the role and expiry date next to each one.

  • Resend re-sends the email and pushes the expiry another 7 days out.
  • Revoke cancels the invite immediately; the link stops working.
  • Left alone, an invite expires automatically after 7 days and can no longer be accepted.
