Requesting access
What you see when you can't open a meeting, how to ask for access, and how the author or Owner answers.
If you open a meeting you can't see, VoiceCap shows "This meeting is unavailable" and lets you ask for access. The page is the same whether the meeting was deleted or hasn't been shared with you, so it doesn't tell you which one it is.
What the page shows
The page says the meeting may have been deleted or hasn't been shared with you. When you open the meeting from your own meetings, the page also shows the account you're signed in with ("You're signed in as ..."); a meeting opened from Shared with me doesn't show it. If someone sent you the meeting at a different address, sign out and sign in with that one before asking.
Asking for access
- Click Request access.
- Optionally add a note in Add a note (optional), for example who you are or why you need the meeting. The note can be up to 280 characters.
- Click Send request.
You'll see Request sent. If the request is approved, VoiceCap emails you a link to the meeting. You need a confirmed email address to send a request; if yours isn't confirmed yet, the page asks you to confirm it first.
Who gets the request
The meeting's author gets an email about it. When owner oversight is turned on for the organization (the default), the organization Owner gets it too. These are the only people who can answer a request: an Admin who didn't create the meeting can't approve one, the same way they can't share it.
Answering a request
There are three places to answer, and any of them works:
- The email's Review request button opens a page that shows who asked, for which meeting, and their note. Click Approve or Decline there. Opening the page on its own changes nothing.
- In the meeting's sharing panel, open requests are listed under Pending requests, above the Private and Shared options.
- The organization Owner also sees every open request for the meetings they can see in Settings > Members, under Meeting access requests.
Every request shows the person's name and email address. If they aren't a member of your organization, the request is marked Outside your organization, so check the email address before you approve.
If someone else already answered the request, VoiceCap tells you and shows the current state.
What approving and declining do
Approving gives that person view and download access to that one meeting, the same as sharing it with them directly. They can't edit it or share it further. They appear in the meeting's access list, and you can remove them at any time with the X next to their name, as described in Sharing with a person.
Declining closes the request. VoiceCap doesn't tell the person it was declined.
