Reading a transcript

How speaker labels and timestamps work, how the transcript follows the recording, and how to match a speaker to a participant.

A completed meeting shows its transcript split into speaker turns, each with a timestamp you can click to jump to that moment in the recording. Until processing finishes, the panel shows "Transcript will appear once processing is complete."

Speaker labels

VoiceCap detects who spoke and gives each voice a placeholder: Speaker 1, Speaker 2, and so on. VoiceCap doesn't know these are real people until you match them.

Matching a speaker to a participant

  1. In the Speakers card, click the pencil icon next to a speaker's placeholder name.
  2. Search by name or email. Anyone already in your organization's people list appears as you type.
  3. Pick a match, or type a name that doesn't exist yet. A Create "Name" option appears, which adds the person and assigns them in one step.

Assigning a person updates their name everywhere the transcript is shown or exported, and feeds the real name into the next summary you regenerate. It does not rewrite the wording of a summary that already exists. Only a regenerate does that. Choosing Clear / unlink reverts the speaker back to its placeholder label.

If the name you assign already belongs to another speaker slot in the same meeting, VoiceCap asks "Merge speakers?" and offers to combine all dialogue from one slot into the other. This is common when VoiceCap splits one person's voice into two speaker ids. Merging cannot be undone.

Only people who can edit the meeting see the edit control. Viewers can read speaker names but can't rename or merge them.

Timestamps

Every speaker turn shows the time it started. Click the timestamp, or click any word in the transcript, to seek the recording to that moment. Word-level timing is estimated by spreading a turn's duration evenly across its words. VoiceCap stores timing per turn, not per word.

Following along with the recording

While the recording plays, the transcript scrolls itself to keep the current line near the top and highlights the word being spoken. Pausing stops the highlight; resuming picks it back up from the new position.

Finding a word in this transcript

The Search transcript... box above the transcript highlights every match and shows "N of M matches", with buttons to step between them.

Older recordings without word timing

A few older recordings only stored the transcript as one block of text, with no per-turn timing. Their transcript panel shows nothing, even though a summary may still exist for the meeting. Export and archive search can still use the full text.
