Creating an organization
How VoiceCap names a new organization, what plan it starts on, and where to change the name later.
An organization is what your meetings, members, and billing belong to. Most people never create one directly: it happens for you the first time you sign up without an invite.
How a new organization gets its name
Signing up without an invite always gets you an organization, whatever your email address is. There's no separate step where you type a company name.
If your email is on a business domain nobody has claimed yet, VoiceCap names the organization
from the domain: you@acme.com becomes "Acme". The domain itself is claimed when you confirm
your email address, not when you sign up. From that point on, colleagues who sign up join you
instead of starting somewhere new.
Until you confirm, the domain stays unclaimed, and a colleague who signs up in that window gets an organization of their own rather than landing in yours. Signing up with a magic link confirms the address as part of signing in, so there the claim happens right away. If another organization claimed the domain before you confirmed, yours keeps its name and its meetings but holds no domain claim, and colleagues can't join it by signing up.
If your email is on a personal domain (Gmail, Yahoo, and similar), the organization is named
after you: Jonas Petrauskas signing up with jonas@gmail.com gets "Jonas Petrauskas". You can
record as soon as you've verified your email, on the web and in the app. Personal domains are
never claimed as organization
domains, so another Gmail user who signs up gets a separate organization of their own instead of
landing in yours.
If you instead join through an invite or domain auto-join, no organization gets created: you become a member of the one that already exists, and only its Owner or Admin could rename it.
Whichever way it happens, the organization starts on the Free plan.
What a new organization starts with
Two settings are on from the first day, and an Owner or Admin can change either one:
- Participant emails are set to All participants, so when a meeting from your calendar finishes, everyone who was invited gets the summary and a link to the recording. Change it at Settings > General, or see Organization settings.
- AI connectors are on, so anyone in the organization can connect Claude or ChatGPT to their own VoiceCap meetings over MCP. Change it at Settings > Integrations, or see MCP server.
If your account has no organization
Some accounts have none: a signup waiting on a pending join request or a pending invitation, and accounts created before every signup got an organization. What you can do about it depends on which one it is.
- Nothing pending: once your email is confirmed, the web shows Create Workspace and the app shows Create my workspace. Before that, both pages send you to Confirm your email rather than offering a button that would refuse. See Email verification.
- A domain join request pending: the web page adds Create My Own Workspace, which declines the request and gives you your own. The app doesn't offer that. Its Waiting on approval screen has Check again, which re-asks whether an admin has approved you.
- An invitation pending: accepting it puts you in that organization instead. See Creating an account.
Nothing tells you when a pending join request is approved: no email, no push notification. You're in from the moment an admin approves it, so reload the page on the web, or tap Check again in the app.
Changing the name later
The generated name is a starting point, not a permanent one. An Owner or Admin can change it, along with the URL slug used in links, from Settings > General:
- Go to Settings > General.
- Edit Organization Name and, if needed, URL Slug. The slug accepts lowercase letters, numbers, and hyphens only.
- Click Save Changes.
Members and Viewers don't see this page. Trying to open it without Owner or Admin rights sends you to Settings > Members instead.
