Profile settings

What you can change about your own account, and where each setting lives on the Profile page.

Settings > Profile is where you manage your own account: photo, name, notifications, summary language, and time zone. Organization-wide settings like the organization name live elsewhere; see Creating an organization.

Avatar and display name

  1. Go to Settings > Profile.
  2. Click Change Avatar to upload a photo. VoiceCap accepts JPEG, PNG, GIF, or WebP, up to 5MB.
  3. Edit Display Name and click Save Changes.

Your email address is shown on this page but you can't edit it here. There's no way to change the address you signed up with.

Password

If you signed up with email and password, a Password card appears further down this page. If your account only ever used a magic link, this card doesn't show up until you set a password through the reset flow. See Changing your password for both.

Notifications

The Notifications card has three toggles, all on by default:

  • Email on transcription complete. Turn it off if you'd rather check the app than your inbox.
  • Group filing reminders, the weekly email listing meetings that are still waiting for your answer about a group. See Groups.
  • Onboarding tips, a few emails in your first weeks that help you get set up. They may remind you to connect your calendar, suggest what to try after your first meetings, or show you how to sort meetings into groups.

Every onboarding email ends with a link to turn the tips off. Using it switches off the same Onboarding tips toggle, without signing in, and you can turn it back on here.

The Owner of an organization on Business also gets a third toggle, Weekly owner digest, on by default. It's an email on Mondays at 08:00 in your time zone with last week's four numbers from team activity (meetings recorded, decisions made, action items and AI assistant lookups), the top decision, and a link to that page. It counts only meetings you can see. A week with no meetings sends nothing.

Summary language

The Summary Language card lets you pick a language for your own meeting summaries, overriding your organization's default. Leave it unset to keep using whatever the organization has configured.

Time zone

The Time Zone card decides what time every meeting is shown at: the date and time on a meeting page, the Today and Yesterday headings in your meeting list, the month headings on the Decisions page, and the timestamp inside a PDF or Word export. It also sets every other date shown in the web app: invitation expiry dates, join requests, group listings and the admin screens.

It starts on Automatic, which follows the device you're using. Pick a specific zone if you want the same times everywhere, for example if you travel but your team's meetings are always in Vilnius. Once you pick one, it applies in the web app on every computer you sign in from, and to PDF and Word exports.

The VoiceCap mobile app doesn't read this setting yet. It shows times in the zone the phone or tablet is set to.

The card shows the current date and time in the zone you've selected, so you can check the choice is the one you meant.

Changing your time zone doesn't move anything. A meeting happened when it happened, and this setting only changes how that moment is written down.
