Email verification

Confirming your email address is required before you can record, upload or join an organization. What still works without it, why accepting an invite needs it, and how to resend the link.

This page is for accounts that use a password, which today means accounts created in the mobile app (and older web accounts). Signing up on the web with Google, Microsoft or an email sign-in link confirms the address as part of signing up, so those accounts never see it.

VoiceCap sends a confirmation link when you sign up with a password, and you have to open it before you can record, upload, or join an organization. Signing in still works, so you're never locked out of your own account: you land on a Confirm your email page instead of the dashboard, and you stay there until the address is confirmed. The app has a Confirm your email screen of its own that works the same way.

Opening the link signs you in and takes you to a short welcome screen offering to connect your calendar. It shows once, and only for an account less than 14 days old that belongs to an organization, isn't a Viewer, and hasn't connected a calendar already. Everyone else goes straight to the dashboard. You can leave it without choosing either option.

The page names the address the link was sent to. Read it: a typo in the address you signed up with is otherwise invisible, and it's the most common reason the email never turns up.

This applies to every account, including ones created before it was required, and the page says as much. Until the link is opened, uploads, recordings and your own meeting library stay locked. If you've been using VoiceCap without ever opening that link, your next visit lands here. One thing is not locked: a meeting someone shared with you opens either way, which the next section covers.

What waits on a confirmed address

Recording and uploading, retrying a failed transcription, regenerating a summary, sending a meeting bot to a call, sharing a meeting with someone by email, connecting Google Calendar or a CRM such as Pipedrive or HubSpot, and approving an AI connector over MCP all refuse until your address is confirmed. So does creating your own workspace.

Two things that already depended on confirmation still work the same way:

Domain auto-join attaches you to an organization automatically once your email is confirmed. Until then, your signup sits as a pending request waiting for an Owner or Admin.
Meetings shared by email to an address that had no account yet show up once you confirm. If a colleague shared something with you ahead of your first login, this is why it isn't there yet. This is not the same as a share link, and the difference is what the address is for: an email share is addressed to a mailbox, so confirming is how you prove that mailbox is yours. A share link carries its own access and is addressed to nobody, so it opens without confirming.

What doesn't wait

Opening a meeting someone shared with you works without confirming, on the web and in the app. The person who shared it made that decision, and there's nothing on your side to prove: blocking you would only make their link look broken.

A share link (voicecap.ai/m/<id>) opens the meeting. On the web it takes you to the shared meeting page. In the app, tapping the link opens the meeting rather than the Confirm your email screen. Either way you can play the recording and read the summary, transcript and action items.
Shared with me on the web lists everything shared with you and reads the same way. Go to it directly at voicecap.ai/shared; the dashboard itself still sends you back to Confirm your email.
In the app, the Confirm your email screen has View meetings shared with me under the resend button. That opens the same Shared with you list, and from there you can open a meeting and play it. You don't need a live share link to get in, so an account that opens the app cold days later still has a way through.

Passing that meeting on to someone else still waits, along with everything in the list above.

Signing in with an email link confirms the address for you, so an account that only ever uses Email me a sign-in link on the web never sees the confirmation page. A work or school Microsoft account whose email address your organization's Microsoft setup doesn't confirm can't sign up or sign in at all; the login page asks you to use an email sign-in link instead, which confirms the address the same way. Personal Microsoft accounts aren't affected.

The welcome email

VoiceCap sends one other email around signup: a short welcome note pointing you at where to start. It arrives a little while after you confirm your address. An account that never confirms never gets it.

Where it points depends on whether you belong to an organization by the time it goes out. If you do, it points at connecting a calendar. If you're still waiting on an invitation or on an Owner to approve your join request, it points at your first upload instead.

Accepting an invitation

Accepting an invitation needs a confirmed address too.

Opening an invite link before you've confirmed sends you to Confirm your email, and that page remembers which invitation you came from. Getting back to it depends on where you open the confirmation link:

In another tab, or on your phone while the first tab waits: go back to the tab showing Confirm your email and click I've confirmed it to continue. That takes you to the invitation you came from.
In the same tab: confirming navigates that tab to the voicecap.ai front page, and the invitation is no longer remembered. Open the invitation email again and click Accept Invitation, which now works normally.

Nothing tells the Confirm your email page when you open the link, so the continue button is a handoff rather than a check. Pressing it before the link is open brings you straight back to the same page instead of into a half-working dashboard.

Resending the link

On the web:

Sign in with Sign in with password. You land on Confirm your email.
Click Resend verification email.

The same page has Sign out, for when you signed in as the wrong account.

In the app, the Confirm your email screen has Resend email for a new link, I've confirmed it for after you've opened one, View meetings shared with me, and Sign out. The app can check the address for real when you press it, rather than handing you off the way the web page does, so it tells you if the address still isn't confirmed.

Waiting a few minutes between attempts works better than clicking repeatedly.

The link itself expires 1 hour after it's sent. If yours has expired, resend rather than reopening the old email.

If the email doesn't arrive

Check your spam folder first. If it's not there after a few minutes, use Resend verification email again rather than requesting several in a row.
