Creating an account

The three ways to get a VoiceCap account, from signing up with Google, Microsoft or an email link to joining through an invite or a company domain.

There are three ways to end up with a VoiceCap account: sign up directly, accept an invite from someone already using it, or land in automatically because your company turned on domain auto-join. All three lead to the same account, with different starting points.

Signing up

The signup page offers Continue with Google, Continue with Microsoft, and an email field with Email me a sign-in link. None of them asks for a password.

  1. Go to the signup page.
  2. Click Continue with Google or Continue with Microsoft and pick the account to use, or type your email address and click Email me a sign-in link.
  3. If you chose the email link, open the email and click the link. It opens a VoiceCap page with a Sign in button. Click it. The link works once and expires 15 minutes after it's sent.

You're signed in straight away, and the address counts as confirmed, so there's no separate confirmation email and no Confirm your email page. See Signing in for how the three methods work afterwards.

Signing up without an invite also creates an organization for you, whatever your email address is, with you as its Owner. See Creating an organization for how it gets named.

If you came to the signup page from the Choose Pro or Choose Business button on the pricing page, Home reminds you of that choice with You picked Pro. See plans (or Business). It shows only to an Owner or Admin, and only while the organization is on Free. See plans opens Settings > Billing. Once you dismiss the reminder, it won't come back. Picking a plan on the pricing page doesn't charge you or change your plan. See Plans.

Personal Microsoft accounts can sign up. A work or school Microsoft account can sign up only when your organization's Microsoft setup confirms its email address. If it doesn't, you see a message asking you to use an email sign-in link instead, and that works for the same address.

Opening a meeting someone shared with you

If a colleague shared a meeting with you by email and you have no account yet, click the link in that email. The page that opens offers the same Google, Microsoft and email link options. Use the address the meeting was shared with: signing in that way creates your account and opens the meeting.

Signing up in the app

The mobile app still signs up with a name, email and password. That route sends a confirmation link, and until you open it you land on Confirm your email instead of your meetings. See Email verification.

Joining through an invite

An Owner or Admin at an existing organization can invite you by email, from any domain, Gmail included. You get an email with an Accept Invitation button. The invite expires after 7 days.

  1. Click Accept Invitation in the email.
  2. If you're not signed in, you're sent to log in or sign up first, using the same email address the invite was sent to.
  3. If your address isn't verified yet, you go to Confirm your email rather than to the invitation. Open the confirmation link, then come back to that page and click I've confirmed it to continue, which takes you to the invitation. Opening the link in the same tab loses the invitation instead, so open the invitation email again from there.
  4. You land on a page showing the organization's name and the role you've been invited as. Click Accept Invitation to join, or Decline.

Accepting an invitation requires a verified email address. See Email verification.

If you're signed in with a different email than the one invited, VoiceCap tells you and asks you to log out and use the right account. If you already belong to another organization, including one that was created for you when you signed up, you're offered a choice to leave it and switch instead.

Domain auto-join

An organization can turn on an "Auto-approve new users" setting for its email domain. When that's on, anyone who signs up with a matching company email joins that organization automatically, no invite needed.

  • Auto-join only happens once your email is verified. Until then, your signup is held as a pending request an Owner or Admin has to approve.
  • A domain is only matched to an organization after the first person on it confirms their email address. Whoever signs up first gets an organization straight away, but the domain isn't tied to it until they open the confirmation link. Colleagues who sign up before that get organizations of their own, and an Owner or Admin has to invite them across. See Creating an organization.
  • The role you get depends on the organization's plan when you join. On Free you join as a Member and can record and upload right away. On Pro or Business you join as a free Viewer, who can open meetings shared with them but can't record or upload their own; an Owner or Admin has to change the role for that. See Roles for what each role can do.
  • If your domain matches an organization that has auto-join turned off, signing up creates a pending request instead, and you wait for an Owner or Admin to approve it.
  • Nothing tells you when a pending request is approved: no email, no push notification. Reload the page on the web, or tap Check again on the app's Waiting on approval screen. Meetings shared with you are readable while you wait.

Personal email domains (Gmail, Yahoo, and similar) never match an organization, and never get claimed as one. Signing up with one gives you an organization of your own, named after you, so two people on the same personal domain end up in two separate organizations rather than together. See Creating an organization.
