Uploading a recording
Supported file formats, size limits, and what each processing status means as your upload turns into a transcript.
Upload a recording of a meeting you already have as a file, and VoiceCap transcribes and summarizes it without anyone joining live.
Uploading a file
- Open New Meeting and select the Upload File tab.
- Drag your file onto the drop zone, or click it to open a file picker.
- Enter a title, or leave it. VoiceCap fills one in from the filename if you haven't typed anything. Pick a language, or leave it on auto-detect.
- Click Upload Meeting.
Supported formats and size limits
VoiceCap accepts audio and video files directly. There's no need to extract the audio track from a video recording first.

A file in another format, or over its size limit, is rejected before the upload starts.
What each status means
| Status | What's happening |
|---|---|
| Uploading | Your file is being transferred to storage. |
| Pending | The upload finished, and VoiceCap is handing the file to the transcription service. |
| Processing | The audio is being transcribed. |
| Summarizing | The transcript is in, and VoiceCap is generating the summary, decisions, and action items. |
| Completed | The transcript and summary are ready to read. |
| Failed | Something went wrong at one of the steps above. See When something fails. |
There's no fixed processing time to quote: it depends on the length of the recording and on how busy the transcription and summarization services are at the time. A meeting sits on Processing or Summarizing until the transcription and summarization services call back to say they're done. There's nothing to click to speed that up.
