Groups
What a group is, who can create and manage one, and how sharing a meeting with a group differs from sharing with people directly.
A group is a named list of organization members used only to control which meetings people can see. It doesn't carry any role or permission of its own: being in a group doesn't make someone an Admin, and being an Admin doesn't require being in any group.
Only an Owner or Admin can create, rename, delete, or manage the membership of a group. A Member or Viewer can belong to a group but can't create one or change who else is in it.
Creating a group
- Go to Groups and click New group.
- Give it a name and, optionally, a description.
- Click Create group.
You're added to the group automatically when you create it.
Renaming, deleting, and members
Open a group and click Edit to change its name or description, or Delete to remove it, which also removes everyone's membership and any meeting shares that pointed at it. To add or remove a member, use the member picker or the X next to their name on the group's page.
You'll only see, and can only manage, the groups you belong to from the Groups page, unless you're the organization Owner with oversight turned on, in which case every group in the organization shows up.
Sharing a meeting with a group vs. with people
In a meeting's sharing panel, Add people or groups lists both at once. Adding a group gives every current member of that group access to the meeting; adding people one by one gives access only to those specific people. Someone who's in more than one group the meeting is shared with, or is both a group member and directly shared with, still only sees the meeting once.
Membership changes take effect immediately
- Add someone to a group and they immediately gain access to every meeting already shared with that group, not only future ones.
- Remove someone from a group and they immediately lose access to meetings shared with that group. Meetings shared with them directly, or shared with a different group they're still in, are unaffected.
